Privacy Notice for BrightnESS2 Third General Assembly Meeting

Introduction The European Spallation Source ERIC (ESS) takes the privacy rights of individuals very seriously. ESS complies with personal data laws (GDPR) by keeping your personal data up-to-date, protecting your information from loss, misuse, unauthorised access and disclosure by ensuring appropriate technical measures are in place.

What personal data will you process? ESS will process the following personal data from you: a) Full name b) Contact information (e.g., phone number, e-mail) c) Employment information d) Financial information e) Photographs

How will you use my information? We will use the information you provide to us in this registration form to comply with conditions of Grant Agreement no. 823867 and to: โ€ข Create participants' list and program of the event โ€ข Ensure individuals at the meeting are authorised to attend, โ€ข Confirm your attendance with your affiliated organisation โ€ข Report about the meeting to the European Commission, โ€ข process reimbursements if necessary โ€ข Provide documentation such as signed participants list, programme, photographs from the meeting, minutes, presentations etc. to auditors, โ€ข Disseminate project results and communicate about the meeting on the project website, project partners' websites, social media channels, future events etc. This includes the use of photographs from the event.

Will my personal data be sent to countries outside the EEA? Yes, to South Africa, and perhaps more in the future as international activities evolve within the framework of the Grant Agreement. The transfer is in compliance with the GDPR requirements agreed upon in the BrightnESS2 Grant Agreement. (All BrightnESS2 partners agree that the personal data will be handled as required by the national and EU data protection legislation and compliant to the General Data protection Regulation (Regulation EU 2016/679). The partners from non-EU countries shall comply with the provisions of the GDPR relating to the activities in the action.) in accordance with the GDPR.

Why are you allowed to use my personal data? We have a legal obligation to comply with the conditions of Grant Agreement no. 823867.

How long is my personal data stored? Your personal data will be stored in the ESS IT system and in hard copy in a locked filing system for five years after the payment of the balance of funding by the European Commission. Information that is not required for audit purpose, for instance dietary information for an event, will be deleted after the event. IBAN data to enable reimbursement, will be deleted after the reimbursement.

What if I object to the use of the personal data? If you do not register with the information requested, then you may not attend the BrightnESS2 Meeting.

Will my personal data be secured? The system is hosted on the ESS premises and has the same backup regime as most of the other systems. Communication to the system is encrypted. Paper documents are stored in a locked filing system on ESS premises. Access to this filing system is controlled and limited.

What rights do I have? Unless subject to an exception, you have: a) The right to withdraw consent at any time for any reason; b) The right to request a copy of your personal data held by ESS; c) The right to request ESS transmit your personal data to another data controller/entity; d) The right to request ESS correct any personal data if it is found to be inaccurate or out-of-date; e) The right to request your personal data be erased when it is no longer necessary for ESS to retain such data; f) The right to request a restriction on further processing when there is a dispute over the accuracy of personal data stored; g) The right to lodge a complaint with the Swedish Data Protection Authority (Sw: Datainspektionen).

Audio & Video Recordings

By participating in this event, you consent to potential photography, audio/video recording, and its/their release, publication, exhibition, or reproduction for dissemination and educational purposes. The European Spallation Source ERIC (ESS), the project coordinator, shall be the exclusive owner of the results and proceeds of such filming, photography and recording with the right, throughout the world, and unlimited number of times in perpetuity, to copyright, to use and to license others to use for the same purposes on behalf of ESS, in any manner, all or any portion thereof or of a reproduction thereof. The results will be stored in ESS archives. If you want us to stop using photos/films/recordings of you, we ask you to contact us. We will then no longer use your personal data. We will also try to remove you from already published material wherever possible.
