Privacy notice for SLHiPP Registrants

  1. Introduction The European Spallation Source ERIC (ESS) requests your consent to process your personal data. ESS complies with personal data laws by keeping your personal data up-to-date, protecting your information from loss, misuse, unauthorised access and disclosure by ensuring appropriate technical measures are in place.

  2. How will we use your information? We will collect your name, institution, country and e-mail address to know who will participate in the Conference, and to better assist with communication at the conference. IMPCAS will create name badges for participants.

  3. Will my personal data be sent to countries outside the EEA? Yes. ESS will send your personal information outside the European Economic Area (EEA). We will allow IMPCAS access to the names of the participants on the Indico page, and as well as the other participants.

  4. How long is my personal data stored? Your personal data will be stored in the ESS IT system for at least 4 months to allow time for invoices to be paid and potential certificates (upon request) to be written. At the end of this period, the personal data you provided for this registration will be deleted from the ESS IT system.

  5. What if I do register for this conference? There are no legal or serious consequences, however, only individuals who have registered may participate in the conference.

  6. Will my personal data be secured? The system is hosted on the ESS premises and has the same backup regime as most of the other systems. Communication to the system is encrypted.

  7. What rights do I have? Unless subject to an exception, you have:

    a) The rights to withdraw consent at any time for any reason b) The right to request a copy of your personal data held by ESS c) The right to request ESS transmit your personal data to another data controller/entity d) The right to request ESS correct any personal data if it is found to be inaccurate or out-of-date e) The right to request your personal data be erased when it is no longer necessary for ESS to retain such data f) The right to request a restriction on further processing when there is a dispute over the accuracy of personal data stored g) The right to lodge a complaint with the Swedish Data Protection Authority (Sw: Datainspektionen)

  8. Who can I contact?

a) For ESS Staff You may exercise your rights by submitting a ticket in the internal ESS IT system.

b) For non-ESS Individuals For individuals who are not authorised in the internal ESS IT system, you may submit questions or exercise your rights by e-mail: privacy@esss.se

  1. Who else can I contact? If you believe there has been a violation of your personal data protection rights, you may in the first instance e-mail privacy@esss.se to discuss a solution.   2. Dietary restrictions The personal data you provide will be kept at ESS and will not be transferred to another institute. We will only give the restaurant and caterer the number of individuals who need a certain meal.

Conference Dinner on Thursday evening

Transport to dinner will be provided. If your partner is with you in Lanzhou we welcome her/him as well for dinner, but the cost has to be payed privately. The cost for partner will be 350 RMB, including transport, and has to be paid at the same time as your registration fee.

The registration fee is 1200 RMB.

If you bring your partner to Lanzhou, he or she is most welcome to join for dinner, but will have to pay this privately. The extra cost would be 350 RMB (including transport to the restaurant) to be paid together with your registration fee.

Registration fee to be paid upon arrival. Cash or with credit card. Registration is open from 4pm on Wednesday the 25th of Sept at the Legend hotel, before the Welcome reception which starts at 6pm. You can also pay upon arrival to the meeting at IMPCAS the day after.

Lab tours

There will be a lab tour at IMPCAS in the end of the meeting, on Thursday the 27th of Sept. The tour takes about 40 mins. Please sign up if you would like to join.

Accommodation

IMPCAS has pre-booked a number of rooms at the Legend hotel close to the institute. To book one of the rooms, please contact Lu Li at IMPCAS.
